Privacy Policy
Effective 4 September 2026
This policy explains how StudioFlow / Birdhaven Studio handles personal information through studioflow.co.za, its legacy photos.birdhavenstudio.com service, and connected brand workflows. Privacy contact: Johann Pickard, johpickard@gmail.com.
Information we process
- Account and team information: sign-in identifiers, name, email address, profile image, brand memberships, roles and assignments.
- Content you provide: photos, videos, audio, file metadata, brand references, briefs, notes, comments, approvals and project records. Files may contain embedded personal information or capture metadata.
- Connected Meta services, when enabled and authorised: connected Facebook Page, Instagram or WhatsApp Business identifiers and profile details, access credentials, published content, permitted performance metrics, contact names and phone numbers, message content and delivery status. Access depends on the permissions granted and features used.
- Technical information: request and error logs, device/browser information, authentication state and notification tokens when you enable push. Local browser storage also supports preferences, drafts and interrupted uploads.
How we use information
We use this information to authenticate users, enforce brand permissions, store and deliver media, coordinate work, process approvals, communicate with participants, publish authorised content, report performance, provide requested AI assistance and troubleshoot or secure the service. Connected Meta data is used for the connected workflows you authorise.
Who can receive it
Content is available to collaborators according to workspace permissions, to recipients of your messages, and to people holding sharing links you create. Treat download and access links as confidential. Publishing or forwarding content can make it available outside StudioFlow.
Google Firebase and Google Cloud provide authentication, hosting, storage and backend services. Cloudflare supports domain delivery and security where configured. Meta processes communications and connected account operations. When you request AI assistance, relevant prompts, brand context and selected content may be sent to Google's Gemini or Vertex AI services to generate the response. These providers may process information outside South Africa. Their applicable service terms and privacy practices also apply.
We may disclose information when legally required or necessary to protect people, the service or legal rights.
Storage, security and retention
StudioFlow uses HTTPS, authenticated access and role-based controls. No online system can guarantee absolute security. Keep account credentials and sharing links secure.
Data is retained while needed for the workspace, connected service or purpose for which it was collected. Removing a Meta connection does not by itself delete previously stored records. You can request deletion as described below. Limited records may need to remain for legal obligations, security or disputes; we will explain applicable exceptions when responding. Existing recipient copies, published posts and backups may require separate handling and are not erased merely by removing an account.
Your choices and rights
You can request access, correction or deletion of your personal information, ask about retention, or raise a privacy concern by emailing our privacy contact. Where applicable, you can object to processing or withdraw consent. You can revoke connected-app permissions through Meta's account or business settings and disable browser push through browser settings.
For deletion, follow our user data deletion instructions. This process also covers Meta-connected data and people who do not have a StudioFlow account. For brand-managed records we may coordinate with the brand responsible for the workspace.
Under applicable South African privacy law, you may also lodge a complaint with the Information Regulator.
Changes
We will update this page and its effective date when our practices change. Contact us before sharing sensitive information if you have questions about how it will be used.
